We take the protection of your personal data very seriously and strictly comply with applicable data protection requirements. The following notice provides an overview of how we ensure the protection of your personal data and which data are collected for which purposes.

III. Purpose and Legal Basis of Data Processing

The personal data collected as part of the registration for and participation in the TRA x BORA Mentoring Program are processed for the purpose of organizing, implementing, and evaluating the program.

The data are processed in order to carry out the University of Bonn’s statutory responsibilities in the area of promoting and supporting students and early-career researchers, as well as to implement the mentoring program. This includes, in particular, coordinating the mentoring program, communicating with mentees, and providing program-related information and opportunities.

In addition, the data may be used for quality assurance and the further development of the mentoring program, for example, to conduct feedback surveys and perform statistical analyses of the program’s implementation.

The legal basis for this processing is Article 6(1)(e) GDPR in conjunction with Section 3 of the Higher Education Act of North Rhine-Westphalia (HG NRW).

IV. Recipients

The personal data collected as part of the TRA x BORA Mentoring Program are shared within the University of Bonn only with those offices and individuals who require the data to organize, implement, and support the program.

This includes, in particular, the organizational units and staff members responsible for the mentoring program who manage registrations, support participants, and coordinate communication and program-related activities.

Where necessary, personal data may also be shared with mentors and mentees participating in the mentoring program, insofar as this is required for the implementation of the mentoring relationship (e.g., for contacting one another and coordinating activities as part of the mentoring process).

As a general rule, personal data are not shared with external third parties. If external service providers are engaged as part of the implementation of the program and personal data are processed in this context, such processing will take place solely on the basis of an appropriate data protection agreement and in compliance with the requirements of the General Data Protection Regulation.

V. Data Retention Period

Personal data are retained only for as long as necessary to implement and administer the mentoring program.

Following the completion of the respective mentoring cycle, personal data will be deleted unless statutory retention obligations require otherwise or further retention is necessary for quality assurance and the continued development of the program. Where data are processed for evaluation purposes, they will be anonymized wherever possible.

You have the following rights with regard to your personal data:

  • Right to rectification or erasure
  • Right to restriction of processing
  • Right to object to processing
  • Right to data portability

You also have the right to lodge a complaint with a data protection supervisory authority regarding our processing of your personal data.
